Description

Primary Purpose:
This position oversees the production of district level events, internal communications, the approval and development of school logos and branding (alongside Graphics Department), coordinating the Community Education program, and overseeing front desk receptionist services for the main administrative building. This involves developing weekly staff enewsletters, coordinating large scale events (production, event invites, scripts, and letters, etc.), facilitating a monthly student leadership group, leading the development of the Community Education online course catalog, facilitating committees, developing campus logos/branding, handling related public relations activities, and evaluating and measuring outcomes of engagement activities.

Major Duties and Responsibilities:

Event Planning and Production:

  1. Direct logistics planning for all district level events, including managing cross-functional engagement with key staff across the organization, and with external stakeholders. (e.g. ceremonies, awards programs, facility naming committees, facility dedications, facility groundbreakings, etc.)
  2. Ensure student voice, student performance, brand integrity and cohesiveness are visible throughout all events and related messaging.

  3. Implement a continuous improvement process, including post-mortems, post-event questionnaires for guests etc. whereby completed events are immediately triaged for successes as well as areas in need of improvement.

  4. Create annual work plan including all events with event timelines, deadlines, purpose and attendance, and follow up goals.

  5. Write event related scripts, letters, build presentations, and talking points.

Internal and Community Engagement:

6.    Develop and distribute weekly staff enewsletter.

7.    Plan and facilitate monthly student leadership group meeting.

8.    Facilitate the development of campus logos and mission statements in collaboration with Graphics Department and leadership personnel.

9.    Plan and oversee the implementation of employee relations campaigns designed to create and maintain internal communications that increase productivity, retention, and engagement.

10. Collaborate with the Communications Department to integrate employee and community relations activities with other high visibility initiatives (i.e. strategic planning, bond referendums, attendance boundary modifications, etc.).

11. Utilize various communications vehicles, including but not limited to video, print and electronic newsletters, forums, brochures, website material, blogs/vlogs, and social media for the purpose of providing factual information and raising awareness.

12. Develop contacts and relationships with employee and community representatives to create opportunities for District engagement.

13. Manage constituent support— answering questions however they come in (phone, e-mail, social media) and any online feedback forums 

Community Education:

14. Oversee the coordination of the Community Education program; assess needs, establish criteria, and evaluate effectiveness.

15. Establish a Community Education action and marketing plan to ensure goals are met.

16. Oversee the coordination of site management for multiple community education courses.

 Administrative Office Front Desk Services:

   17. Supervise main administrative building front desk receptionists, develop procedures, and evaluate and improve productivity.

   18. Supervise front desk clerk for the administrative building.

 Other:

   19. Perform personnel administrative functions (e.g. hiring, training, supervising, evaluating, providing professional development opportunities, etc.) for the purpose of maintaining trained staff, enhancing productivity of personnel, and ensuring program outcomes are achieved.

   20. Advise supervisor, weekly, of project statuses, other programmatic requests, and activities.

   21.  Develop and monitor budgets, contracts, and revenue for each area of responsibility.

   22.  Other duties as assigned.

Equipment Used:
Personal computer, printer, copier, and fax machine. 

Working Conditions:
Maintain emotional control under stress.  Occasional prolonged and irregular hours. District-wide travel to various locations.  Moderate lifting and carrying.

Requirements

Qualifications:
Bachelor’s degree in education, communications, public administration, or a related field
Master’s degree preferred
Strong organizational, public relations and writing skills
7+ years of experience in events management, school public relations and community relations
Strong knowledge of word processing, presentation, spreadsheet, and web application software
Basic ability to complete multiple projects independently and under tight deadlines
